The Settings page’s End-of-Year Rollover tab allows districts to archive and remove data from the 95 Literacy Intervention System™ (LIS), providing a clean slate at the start of the new school year.

One95 Administrators have exclusive access to the Settings page, where platform settings are configured. Access the End-of-Year Rollover tab by selecting Settings from the navigation panel and clicking End-of-Year Rollover in the menu at the top of the page.

End-of-Year Rollover Overview

An “end-of-year rollover” is the administrative process that prepares your district's LIS data for a new school year by transitioning and/or resetting information from the previous year.

The End-of-Year Rollover tab gives One95 Administrators visibility into LIS usage numbers and control over which schools, grouping, and assessment data are carried forward, and when the previous school year ends.

During rollover, One95 Administrators can determine the level at which the process runs — district, multi-school, or individual school — and whether the following grouping and assessment data are carried forward or reset based on your district's policies:

  • Intervention plans and their associated Tier 2 groups
  • Active groups unassociated with intervention plans
  • Scheduled and on-hold assessments

Rollover actions cannot be undone once executed.

District Status for Current School Year

There are three steps to running a rollover: selecting the rollover scope (all schools or specific schools), specifying the previous school year's end date, and choosing which data to archive, remove, or preserve.

Each step is completed within the Select Rollover ScopeSelect Archive Date, and Select Archive and Data Preservation Options sections, respectively.

Reference the Rollover Last Run and Current Usage Numbers sections for insight into when your last rollover completed (if applicable) and which data will be affected by the next one.

Rollover Last Run

If you or another One95 Administrator in the district has run a rollover, the Rollover Last Run section indicates the timestamp of when the most recent rollover finished.

After the first rollover is complete, the View Activity Log button displays the district's end-of-year rollover history.

The log shows each rollover with its execution status (i.e., success, partial success, or failure), which schools were included, when it ran, what type of action was performed (e.g., saved and closed on-hold assessments), and who initiated it, providing full visibility into every rollover the district has performed.

Current Usage Numbers

The Current Usage Numbers section displays the district’s current usage numbers for intervention plans, active groups, and assessments.

  • The Intervention Plans count displays the total number of intervention plans in the Planning or Active statuses.
  • The Groups count displays the total number of active groups (i.e., Classroom, Tier 2, or Tier 3) that are not associated with an intervention plan.
  • The Scheduled Assessments count displays the total number of scheduled assessments.
  • The On-Hold Assessments count displays the total number of on-hold assessments.

Select Rollover Scope

The first step to running a rollover is to determine the district’s rollover scope: either all schools with the LIS enabled, or one or many specific schools with the LIS enabled.

Select All schools in the district or Specific school(s) in the district, respectively.

If Specific school(s) in the district is selected, use the leftmost checkbox column to select one or multiple schools. Mark the checkbox in the table header to select all schools displayed in the table.

Use the search bar to filter schools by name.

Sort schools in ascending or descending alphabetical order by clicking the School Name column.

Select Archive Date

The second step to running a rollover is to specify the end date of the previous school year.

The date can be manually entered in MM/DD/YYYY format or selected via the calendar picker.

Note: Only data before this date will be archived or removed, so rollover can be run even after the school year has started.

Select Archive and Data Preservation Options

The third and final step to running a rollover is choosing which data to archive or remove and which to preserve.

Districts can choose to archive intervention plans and their associated Tier 2 groups, archive active groups that are unassociated with intervention plans, remove scheduled assessments, and/or remove on-hold assessments.

Note: Archiving intervention plans and/or active groups removes all associated students.

Mark the checkboxes next to one or multiple options.

If Remove On-Hold Assessments is marked, determine whether these assessments should be saved and closed or discarded.

Before clicking Confirm Rollover, keep in mind that this action cannot be undone.

Click Confirm Rollover once complete.

After confirmation:

  • The outlined data will be archived and/or removed for the selected school(s)
  • The applicable counts within the Current Usage Numbers section will be updated
  • The Rollover Last Run section will be updated with the rollover timestamp
  • The activity log will be updated with execution details, final status, and data modifications
